Job Description

Are you a proactive, highly organized Virtual Manager who thrives in healthcare operations? We’re hiring immediately for a part-time role supporting a private practice—and we want YOU to help us streamline care, documentation, and day-to-day ops.

### Duties and Responsibilities:

* Coordinate daily administrative tasks and ensure nothing falls through the cracks
* Communicate through the EMR (Cerbo) and by phone to reach patients, vendors, and partners
* Order labs across multiple vendors (each with different processes) and track completion
* Own and improve day-to-day billing processes (claims, payments, reconciliations, follow-ups)
* Build clear SOPs/documentation—capture what’s “in the head” and turn it into repeatable processes
* Oversee inventory management & audits: track supplements, maintain min/par levels, manage refills
* Maintain accurate records, notes, and task logs inside Cerbo and related tools
* Identify bottlenecks, propose improvements, and introduce structured task management
* Collaborate closely with the client; communicate updates, risks, and next steps with empathy and clarity

 

### Must-Haves

* 2+ years of administrative or operations experience (healthcare setting preferred)
* Excellent English—confident on the phone, crisp in writing, and not afraid to communicate
* **Great with documentation**: you love tidy SOPs, checklists, and version control
* Detail-oriented, patient, and empathetic—comfortable supporting patients and clinical staff
* Tech-savvy; quick to learn EMRs (Cerbo experience a plus) and workflow tools
* Able to work independently, prioritize, and follow through without hand-holding

**Nice-to-Haves**

* **HIPAA Certification** (If you don’t have it, the client will **cover certification costs**)
* Experience with Cerbo, healthcare billing, lab ordering, and inventory control
* Background in task/project management or QA of processes

### Technical Requirements:

* **Headset:** USB headset with noise cancellation
* **Webcam:** Working webcam
* **Computers:** Primary and backup computer with at least i5 to i7 processor and 8GB RAM
* **Internet:** Main internet service speed of at least 25 Mbps wired connection; backup internet speed of at least 10 Mbps
